Privacy policy - SLU Fundraising

Last changed: 04 September 2024

If you decide to get involved and support SLU, we want you to feel confident about how we process your personal data. Here, we describe why we may need to store your data, what data is stored, the requirements that apply to SLU as a public authority and what rights you have. Please do not hesitate to contact us if you have any questions.

Data controller

The Swedish University of Agricultural Sciences (SLU) is the data controller for the processing of your personal data. Your contacts for processing in connection with donations and fundraising are Anna Lehrman and Åsa Formo. You can contact SLU’s data protection officer at dataskydd@slu.se.

Why do we need to store your data?

The purpose of processing your personal data is to fulfil our mission as a public authority and university, which is to provide high-quality research and education, as well as collaboration with the surrounding society. To support this, SLU Fundraising works to increase external funding, primarily for research. SLU processes your personal data to enable communication and administration concerning fundraising.

We use the data for e.g the following:

  • registration of donations and gifts
  • feedback on projects and donations
  • sending thank you letters and invitations and administering events, seminars and ceremonies.

SLU processes your personal data as required to comply with the legislation on official documents and public authority archives.

What data is stored?

We store the following data:

  • name
  • contact details
  • information about the gift
  • information about the donor’s wishes regarding communication and anonymity
  • relevant meeting notes
  • organisation affiliation, if applicable.

Legal basis

SLU’s mission, as defined by law, is to conduct research and education. The purpose of our fundraising is to strengthen these activities. SLU is also tasked with interacting with the surrounding community and providing information about our activities.

The legal basis for our initial processing of personal data, therefore, is that the processing is necessary for the performance of a task carried out in the public interest. Storing your personal data in our contact database for a longer period is done with the legal basis of consent.

Processing your personal data for mailings, invitations and related administration is also based on consent.

Where our processing of your personal data is based on consent, you have the right to withdraw your consent.

Processing of personal data in connection with the archiving of public documents is necessary for the fulfilment of our legal obligations as a public authority.

The principle of public access to information

As a public authority, SLU is subject to the principle of public access to official documents. This means that all official documents, including personal data, that are not considered working material are public and can be disclosed to anyone who requests them. If a document contains data that is subject to confidentiality, it will not be disclosed.

Storage

Your personal data is stored in-house at SLU and in our cloud-based contact database (CRM). Storing data in the cloud may involve the transfer of data to countries outside the EU, but SLU has ensured an adequate level of protection as per applicable legislation. Your personal data will be stored for as long as required by the legislation on official documents and public authority archives, or for as long as you express an interest in receiving information about SLU and supporting our work.

Your rights

You have the right, under certain circumstances, to have your personal data erased, corrected or limited. You also have the right to access the personal data being processed, and you have the right to object to the processing of your data. To exert your rights, contact dataskydd@slu.se.
